MAXIREMINDER – NEW FEATURES

MaxiMessenger
This new, highly anticipated feature allows for 2-way texting with your patients. Note: This only works if you are currently a MaxiReminder subscriber.

User Preferences
• Preferences > User Preferences > “The default time state for adding new treatments” was updated to identify separation of Resto and Perio controls. Two options now exist: “The default time state for adding new resto treatment” and “The default time state for adding new perio treatment”.

Notes Overview
• MaxiChart > File > Notes Overview – updated the column size to be adjustable via left-click + hold and drag to resize from the column headers. This allows for flexibility in reading the notes.

Recall and Appointment Window

• Recall and Appointments window during Relay in MaxiChart had a typo in the header. Fixed typo of “Recalls and Apointments” to proper “Recalls and Appointments”.

Resto Chart
• MaxiChart > Resto Chart > Patient information – updated to show the patient’s “Preferred Name” with their First and Last Name in the patient information.
• MaxiChart > Resto Chart > Patient information – updated to show longer patient names without cutting off the display.

New Perio Path
• MaxiChart > Perio Chart > New Perio Path added. Requested Path is: 48B to 44B; 38L to 34L; 34B to 38B; 44L to 48L; 33L to 43L; 43B to 33B; 18B to 14B; 28L to 24L; 23L to 13L; 13B to 23B; 24B to 28B; 14L to 18L – path #132. Paths #133, 134 and 135 were added as mirrors and reversals of this path.

• MaxiChart > Perio Path additions – added two new perio paths along with mirror and reversed versions: 48 L- 41 L; 38 B – 31 B; 28 B – 21 B; 18 L – 11 L; 28 L – 21 L; 18 B – 11 B; 38 L – 31 L; 48 B – 41B – this is path #124 with others added #125, 126, and 127. Added as path #128 is: 48B – 41B; 38B- 31B; 38L – 31L; 48L – 41L; 18B – 11B; 28B – 21B; 28L – 21L; 18L – 11L – additional paths added are #129, 130 and 131.
• Perio Chart – adding Perio Path options. Added a set of Perio Paths to start with: 48B – 41B; 38L -31L; 38B- 31B; 48L – 41L; 18B – 11B; 28L – 21L; 28B – 21B; 18L – 11L – Path #120. Additional paths to mirror and reverse this path were added as paths # 121, 122 and 123.
• Perio Path added – path #136 was added – 18B–11B, 28B–21B, 18L–11L, 28L–21L, 48B-41B,38B–31B, 48L–41L, 38L–31L. Mirror and reverse paths added as paths #137, 138 & 139.

Perio Chart
• Added a “Paint Mode” to Perio Conditions. This will allow you to free-hand draw the Perio Conditions for your patients by selecting the condition, then either left-clicking on the tooth you want the condition to appear or, for Conditions like Pockets, FGM and MGJ, you can left-click and hold to drag the mouse and enter values for your patient. Simply single left-click on a Condition in the Paint Mode section to turn on/off the Paint Mode for that Condition.

Deadlock between Maxident/MaxiChart/MaxiPlanner

• Found concerns with a deadlock between Maxident, MaxiChart and / or MaxiPlanner when performing multiple queries on the database in the course of normal office work. Implemented a solution to reduce deadlock situations in the Maxident database.

Uncommitted Chart Notes
• Notes were found to be duplicating on occasion when the Auto Save option for the patient’s chart was turned on. Identified and resolved the concern with the save and refresh writing to the database causing the duplications.

Perio Data Entry
• MaxiChart > Perio Chart > Perio Data Entry – found that if you click on Lingual of a tooth, the system was opening to the Buccal side in the Perio Data Entry window. Fixed to open properly on the Buccalor Lingual as selected by the user.

Notes Overview
• MaxiChart > File > Notes Overview > Edit Note screen – added ability to maximize this window for larger display to work with the note; we fixed the title at the top to be “Edit Note” and added “Chart” with note date to the header listing when editing a note.

Resto Chart
• MaxiChart > Resto Chart – when charting Resto Treatments, the Resto Chart was automatically switching to the Chart Note section between treatments instead of staying on the Resto Treatments or Conditions. Fixed to keep the window on Resto Treatments or Conditions, depending on where the user is working at the moment.

MAXIREMINDER – NEW FEATURES

MaxiMessenger
This new, highly anticipated feature allows for 2-way texting with your patients. Note: This only works if you are currently a MaxiReminder subscriber.

Appointment Book

Add/Edit Appointment Window
• MaxiPlanner > Add / Edit Appointment window – turned off the “Is Recalled” field as it was causing confusion with users.

Waiting List
• Added patient’s Mobile phone and an Urgency ranking to each Waiting List entry. Urgency allows an entry to be ranked from 0-9 with 0 being least urgent and 9 requiring more immediate booking. By single left-clicking on the header for any column, you can sort the list so that from the Urgency column you can see your most to least Urgent entries in order.
• Waiting List Icon – updated, making it easier to identify in MaxiPlanner.

SMS Message
• Enhanced option from a right-click on an Appointment to send SMS message directly to the patient regarding that appointment. Content for the message is set under System > Preferences > Location Preferences > Reports > Default subject and message for calendar appointment email. Tokens are available here for populating the message customized to each patient. (Requires MaxiReminder)

Add New Blockout
• MaxiPlanner > Add New Blockout – Provider/Chair is now blank and Provider(s) or Chair(s) options must be selected to create the Blockout.

Appointment Status
• Appointment Status reset prompt should only come up when the date/time of the appointment is changed. Updated to only prompt for Status change when the date and/or time of the Appointment is changed. If the Appointment is moved between providers and/or chairs, the prompt will not appear.

Unscheduled Appointment
• MaxiPlanner > Unscheduled Appointment – added new filter for “Date Modified” of the Unscheduled Appointment. In the Filter options, we have added From and To filters for Date Modified on the Unscheduled Appointment so you can sort by a date range for when the Unscheduled Appointment was last updated, in addition to Date Created.

Management Screens

Never-Lose-a-Patient Recall and Appointment System (NLAPRAS)
• Operations > Never Lose a Patient Recall and Appointment System – expanded the date fields to accommodate more date format options including DD/MM/YYYY.
Never-Lose-a-Treatment-Plan

• Operations > Never Lose a Treatment Plan – added hidden filter to exclude Inactive patients as Deleted patients were previously removed through hidden filter option.

Reminders
• Manage > Reminders – when creating a new Reminder, the system was updated to select no Users by default. All Users to display the Reminder must now be manually selected.

Insurance Companies and Policies
• Manage > Insurance Companies and Policies > Insurance Company > General Tab – updated the Phone Number to allow re-prioritizing of the listed phone numbers.

Patient Ledger and Accounting Operations

Insurance Tab
• Patient Ledger > Insurance tab – added a memo field specific to the patient and for each policy on the patient’s profile. The button is visible from the Insurance tab on the Patient Ledger, in the Patient Management window and from Patient’s Insurance Coverage in MaxiChart.
• Maxident > Insurance Tab > Add new Policy – when moving from searching for the policy in existing policies to adding a new policy based on Policy Number searched, we changed the Insurance Manager to bring the policy number searched for into the new policy automatically, instead of requiring it to be reentered.

Receipt History
• History > Receipt History > Invoice Date – updated to include an information tool tip for Invoice Dates appearing as ranges to notify the user that more than one Invoice was paid.

Treatment Plan Manager
• Patient Ledger > Treatment Plan Manager > Preauthorizations tab – added a new checkbox to indicate whether the preauthorization response was sent to the patient or the office once the Plan is marked “The insurer has approved this Treatment Plan”. Until that option is checked, the options for “Preauthorization sent to office” and “Preauthorization sent to patient” will remain hidden.

Printed Insurance Claim Form
• Patient Ledger > Treatment Ticket > Printed Insurance Claim form – added an answer to Part 3 Question A of the form “Are any dental benefits or services provided under any other group insurance or dental plan, W.C.B, Government Plan, or if a result of an accident, a motor vehicle or accident insurance plan?”System will select No if the patient has only one insurance policy, Yes if patient has more than one.This only affects NIHB claim forms.

Profile Tab

• Ledger > Profile tab – added a new button for “Send SMS” under phone number section to launch MaxiMessenger for that patient. This allows for 2-way texting with patients. This only works if you are currently a MaxiReminder subscriber.

Posted Note
• Maxident > Patient Ledger > Posted Note – Stamp function previously used the Windows User Account. It has now been changed to use the Maxident User Account to track which user made the change. Bank Deposit Review by Treatment Provider Detail/Summary
• Reports > General Reports > Review > Bank Deposit Review by Treatment Provider Detail / Summary updated to not include Adjustments in the transactions listed. The reason is that Adjustments should not be part of a Bank Deposit Report as they are not monies received.

Reports and Printouts

Administrative Reports

• Reports > Administrative Reports > User Activity Audit Trail – “Payment Reversal from Voiding an Invoice” was not showing. It now does.

Accounts Receivable
• Maxident > Reports > General Reports > Accounts Receivable – AR reports were not filtering properly to show only invoices with a balance greater than .01. Updated to filter properly when selected.

Referral Form for Current Patient Printout
• Reports > Referral Form for Current Patient Printout – increased the font size on the printout for the Consultation, Treatment, and Relevant History notes to make it more readable.

Detailed Receipts
• Maxident > Payments > Detailed Receipts – fixed to print in French for the patients who are set to French language on their Administrative Tab.

Practice Summary Report
• Reports > General Reports > Review > Practice Summary Report corrected to show correct Payment Totals for Billing and Treatment Provider on both Fiscal and Posting Date versions of the report.

Bulk Payment Operation
• Added the ability to write an Invoice Note during the Bulk Payment Operation. You can now click on the Invoice Note field for any invoice on the patient’s ledger to add a note. Also, at the start of a Bulk Payment Operation, a note can be entered to save on all invoices where a payment is applied.

• Maxident > Bulk Payment – added the ability to perform a Charge Redistribution during a Bulk Payment operation. While completing a Bulk Payment entry, if a Charge Redistribution is required on an invoice, simply press and hold CTRL then left-click anywhere on that Invoice line to perform a Charge Redistribution while your Bulk Payment is still in progress. Once the Charge Redistribution is complete, continue with your Bulk Payment operation.

Confirmation Labels
• Reports > General Reports > Appointment > Confirmation Labels – added criteria to exclude patients that had an SMS Reminder sent as well as those with an Email Reminder sent. Filters work for either SMS or Email or both depending on selected options.

Family Account Summary
• Reports > General Reports > Review > “Family Account Summary” – found an issue with the Date Range selector. Fixed to run properly with Date Range set to All, or to separate From and To dates.

Charted Future Treatment
• Reports > General Reports > Listings > “Charted Future Treatment Report” – added sort options for “Date Created” and “Patient Name” to go with existing options of “Patient Number” and “City Name”.

Adjustment Amount
• Maxident > Adjustments > Adjustment amount – found the Adjustment amount was off by $0.01 from what the user entered. Updated the code to properly redistribute amounts between the payments.

Close Day/Close Month/Close Year
• Operations > Close Day/Close Month/Close Year – added a new option to “Preview Reports” before performing the Close Operation. All selected reports will show in the Preview window when selected.

Referral Summary
• Maxident > Reports > General Reports > Referral Summary – report was taking a long time to run so we improved the queries that generate the report to speed up the report production.

Fee Guides and Procedures
• Fee Guides and Procedures > System default fee guide – added date tracking for default Fee Guide Changes to record in the database when the Fee Guide is changed/updated. This was done to provide additional tracking in the database for when Fee Guide updates were completed.

Miscellaneous

Practice and Locations
• System > Practice and Locations > Location > Profile tab > Email – updated the email field to allow for longer office email addresses.

 

Management Screens

Document Manager

  • Will remember the width of columns when the columns are manually resized. The resized columns will be remembered by the system when the Document Manager is closed and reopened for the same or a different patient.

EDI Manager

  • EDI – iCA v3 or higher, a screen pops up every time a claim is sent instead of remaining minimized in the Taskbar at the bottom of the screen. Fixed to remain open and minimized between claims so it will not pop up with each claim.

 

Never Lose a Patient Recall and Appointment System (NLAPRAAS)

  • Should display patient’s preferred name in the window. Updated to display the Preferred Name in the lower right with the patient’s personal information.

Treatment Plan Manager

  • Treatment Plan Manager > Insurance Tab – When editing the “Approval Note” section, the Save All Changes button does not get enabled. Fixed to enable the Save All Changes button as the text is entered into the “Approval Note” section on the Insurance Tab.
  • Added the ability to print a Treatment Estimate with only selected Treatments from the Treatment Plan/Estimate selected. When printing a Treatment Estimate, only the selected codes will appear on the printed sheet.

Patient Ledger and Accounting Operations

Medical Info

  • Added a button for “No change since the last visit” so that nothing needs to be added or changed to activate the “Save Changes” button when the patient comes in. This is so that you do not have to update an answer to a question or add a custom question regarding changes to save an updated copy of your patient’s Medical History.
  • Medical Info > Page 2 > Conditions – Condition for “Sleep Apnea” added.

Payment

  • The pop-up message at the end of a patient payment to Print or Email the Receipt for the patient required a default setting. Added an option on the Administrative Tab to set the default to Print or Email. Initial default for all patients is to Print.

Find Patient Screen

  • Added a prompt allowing you to confirm before displaying large search results in the window, as large search results can take longer to load. You can select to display the results or cancel and refine your search instead of waiting for the results to load.

Medical Tab

  • Health ID Province field was not wide enough to display all information entered. Due to spacing concerns, instead of making the Health ID Prov/State field larger, we added a Memo field below to allow for notes to be entered regarding the patient’s Health ID, such as their expiry date or reset information.

Statements

  • Printing a Statement for a family from “Statements” on the Patient Ledger will now save a copy to the Head of Family’s Documents folder for later reference, along with recording the Statement date/time on the Administrative Tab in Statement History.

Insurance Tab

  • Added DOB for policyholder on the Insurance tab for both Policyholder and any Dependents. This will save time when double-checking that the information is entered correctly for the Policyholder if there are concerns with the claim.

Profile Tab

  • Emergency Contact Info on the Profile Tab needs an indicator to show no data exists. Added an indicator to show when data exists and when it does not.
    • A red box with an exclamation mark indicates data is missing, while a green circle with a check mark indicates data is present.

Treatment Ticket (Billing and Treatment Plan/Estimates)

Treatment Ticket

  • Same option to email receipt at the end of a payment on the patient’s Ledger has been added to Treatment Ticket. The settings must be present to email individual receipts and the Head of Family must have an email address on their profile; the same settings are required to email a receipt after Patient Payment.
  • Discount window in Treatment Ticket will now prompt if a Discount was already applied to that Treatment Ticket before adding a Discount twice. This situation can happen when a Treatment Ticket is put on Relay after a Discount is applied and then when reopened to continue unless you know the prices of the regular Fee Guide to know a discount was applied, you may be looking to apply it a second time.

Reports and Printouts

Referral Form for Current Patient Data Entry

  • The fields for Consultation, Treatment, and Relevant History have been expanded and will adjust automatically for longer content. The Relevant History field is the largest and, with enough content, this form will print on two pages instead of the default 1 page it starts with.

Procedure Analysis by Practice Report

  • This report has been added to show procedures for the practice as a whole and not grouped by the Provider, allowing a more complete view of what is happening in the practice. The Procedure Analysis by Provider Reports is still available.

 

Patient Listing by Medical Condition

  • Added to Reports from Patient Ledger – “Patient Listing by Medical Conditions”. This report allows you to see how many patients have Conditions from Page 2 of the Medical Info window. Report shows patients by name and which Medical Condition(s) they have that qualify them to appear in the generated report.

 

Bank Deposit Summary Report

  • Reformatted for Insurance Payments to group by Insurance Company, as the Bank Deposit Detailed Report already does. Previously, the report lumped all Insurance Payments together similar to the section with Patient Payments. Now, the report is separated with the individual Insurance Companies and payments on those invoices for easier reading and verification of payments into your bank accounts.

 

Operations > Email Statements Window

  • Email Statements is available to offices with a Bulk Email Statement subscription, if you are interested, please let your Account Manager know. When activated, if there are no patients with Email Statements checked on the Administrative Tab, a message will appear to indicate no patients have this option selected and where to update when “Send Emails” is selected in this window.

 

Relay Listing Report

  • Relay Listing Report from Reports > General Reports— the Date Range printed on the report was only the Fiscal Date Range. Added columns for Fiscal Date and Posting Date to show all dates in the report to make the report easier to read.

 

Bank Deposit Review Detail Report

  • Updated with a note at the bottom of the report to identify which Methods of Payment are listed under “Other” when only some Methods of Payment are selected instead of All Combined Payment Method.

 

Patients without Future Appointment and Recall

  • In Listings > “Patients Without Future Appointment and Without Recall” & “Patients Without Future Appointment OR Without Recall”, have added criteria to search by Last Appointment Date range to find patients based on when they were last in the office.

 

Close Day/Month/Year

  • Added an option to archive reports selected to run with each Close operation. In each Close window, there is a new checkbox to “Archive Selected Reports,” which will automatically record the reports that day to the computer the Close operation is performed on. If this computer is switched out later, these reports would have to be manually moved to a new workstation

 

MaxiPlanner – Scheduler Enhancements

Appointment Book

“Date Added to Short List”

  • Added a field for Date Added to Short List. Previously, only the Date the Appointment was created was listed. The Short List can also be sorted to the Date Added to Short List by clicking on that header so that you can choose whether to work with newer or older entries first.                                                                     

Unscheduled Appointments   

  • Added columns for “Date Created” and “Date Modified” to show when the Unscheduled Appointment was added to the listing and last modified.
  • In Unscheduled Appointment Manager, we added the ability to filter by name (a-z), by preferred provider, by units of time on the Unscheduled Appointment, by creation label (Treatment Plan, Patient, or Resto Treatment Set) and by family. Clicking on the new “Filter” button will provide sorting options. If the list is set to Column Sort then the column sorted by is highlighted in blue.
  • Treatment column does not need to show the additional text of “Resto Treatment Set”, “Patient” or “Treatment Plan”. We added an option to “Show Extended Treatment Description” in the Unscheduled Appointment window. When selected, this text will appear and when unselected, it will not, making the Treatment Column easier to read without resizing the Unscheduled Appointments window in the Scheduler.

Find Free Time

  • Added an option to not include “Available Blockout” in the settings. The option to not include “Available Blockouts” is selected by default and Unavailable Blockouts are still hidden in Find Free Time search results. This allows you to select it if you want to see time marked with an Available Blockout in your search results or not, to find time for your patient.

“Active” Providers

  • Added option in Manage > Providers to specify if a Provider is Active, similar to the setting for Patients. When Active is unchecked, a provider will not appear in lists like Waiting List, Unscheduled Appointments, Chairs, Edit Providers and “Show List of providers who work today”.

Patient Recalls  

  • When booking a patient’s appointment, the warning message regarding the patient’s Recalls due after the scheduled appointment date would not show while booking an appointment for Today’s Date. Updated to show the warning message on Today’s Date as well.

Miscellaneous

Spell Check

  • Enhanced functionality to add words to the dictionary in Maxident and MaxiChart. Once a word is underlined in red you can right-click on it and “Add to dictionary” or “Check spelling”. Once a word is in the dictionary, options to “Check spelling”, “Ignore”, “Change” or “Cancel” will appear.

Booking Over a Cancelled Appointment
• MaxiPlanner > booking over a Cancelled Appointment – found that if the Program Option to Allow booking over “soft” appointments was not selected, could still book over and it created an Overlapping Appointment. Fixed to allow booking over a soft appointment only when the option is selected and the Appointment Status is “soft”.

Unscheduled Appointments
• MaxiPlanner > Unscheduled Appointment window > Date sort is incorrect – fixed the date sort to read the date properly no matter the order format. The date was read properly in a MM-DD-YYYY format but not in a DD-MM-YYYY format or others.

Provider View

• In the Provider View, the user was not able to book an appointment on top of a Cancelled Appointment, when clicked, it opened to edit the existing Cancelled Appointment. Fixed to open a new Appointment when the existing Appointment is Cancelled.

Management Screens

Insurance Manager
• Insurance Manager > Insurance Company Phone numbers – was unable to delete. Fixed to allow deletion of phone number from the Insurance Company.

Insurance Companies and Policies
• Manage > Insurance Companies and Policies > Insurance Company > Add New Insurance Company– found an error adding new insurance company. Issue affected specific Postgres database offices and was fixed via application of a script. If required for your office please reach out to your Account Manager/Support Tech for assistance.

Patient Ledger and Accounting Operations

Find Patient

• Searching patient by phone number in Standard Find – fixed the error message to include information on functional search criteria while still allowing the creation of a new patient.

Account or Treatment History
• Patient Ledger > History > Account History or Treatment History – printout was found to have the incorrect name for the patient’s information being printed. Corrected to print the proper name for each patient for each history entry.

Treatment Plan
• Treatment Plan Indicator was not showing when it should’ve been in a specific circumstance. If a Future Treatment was entered on the patient’s chart in MaxiChart and sent to a Treatment Plan but that Plan was later deleted from Maxident and the Future Treatment added to a new Treatment Plan within MaxiChart, the Treatment Plan icon was not appearing/updating properly. Fixed to appear/ update properly as a new Treatment Plan is created.

Treatment Plan Manager
• PreAuthorization tab was listing primary insurance policy companies as “Undefined” instead of by name and missing second company information completely when the Treatment Plan was created from MaxiChart. Fixed to show proper insurance company names and both insurance policies for patients.
• Maxident > Treatment Plan Manager > Show Deleted Treatment Plans – fixed a defect that caused any deleted Treatment Plans for the patient to not appear when “Show Deleted Treatment Plans”was selected.

Scanner
• Patient Ledger > Document Manager > Scanner > “Add PDF from Scanner” – fixed to work again as it stopped working properly to add a PDF directly from the Scanner.

Payment History
• Patient Ledger > History > Payment History – found a concern with the display. Fixed to properly display the selected patient/family Payment History.

Referral Form for Current Patient
• Patient Ledger > Reports > Referral Form for Current Patient – found that the Referral Form was not correctly creating a second page when there was additional text in Condition or Treatment. Updated to properly create a second page when additional text is entered on these or the Relevant History fields.

Receipt History
• Maxident > Patient Ledger > Receipt History – found that on occasion there were duplicate records produced which caused errors in printing the Receipt History for some patients. Fixed errors that caused the duplication. There was no corruption of the data, merely a duplication.

Reports and Printouts

Patient Listing Report
• Reports > General Reports > Listings > Patient Listing Report – fixed Next Appointment Date in the Settings> Patient Information > Next Appt Date, to work properly. Also improved MaxiPlanner indexing of Appointments to be more efficient.

Claim Forms

• Claim Forms > Nova Scotia Claim Form was printing with wrong provider’s unique ID when an alternate provider was listed as Billing Provider for that day. Fixed to pull correct provider’s unique ID regardless of which provider is listed as Billing Provider for current day’s treatment.

Email Statements
• Operations > Email Statements > “Preview Patient List/Edit Footnotes” > updates to notes were not saving. Fixed to update the patient Statement Footnotes from this window to save on the Administrative Tab > Statement Footnote section as it did previously.

Procedures Itemized by Billing Provider or by Treatment Provider
• General Reports > Production > Procedures Itemized by Billing Provider or by Treatment Provider lab codes were not being reported properly for count and amount. Fixed to display lab and procedure codes properly for count and amount charged.

User Defined Recalls
• Maxident > Reports > General Reports > Recalls > User Defined Recalls – report was showing Last Appointment Date even when last appointment was marked with status Cancelled. Fixed to display Last Appointment Date as the actual last appointment and not count Cancelled Appointments.

MaxiForms
• Maxident > Operations > MaxiForms Manager AND Patient > MaxiForms – when creating a MaxiForm in the MaxiForms Manager, it is essential to use only unicode characters for items like boxes and regular text. MaxiForms does not support the use of Wingdings in printouts and that would cause text to be missing on printout.

Miscellaneous

Maxident operating on a Touch Screen Tablet
• On-Screen keyboard was not coming up when it should’ve been for text windows. Fixed to open the keyboard on-screen with a double tap of the free-form field space if it does not appear immediately. Spaces include Medical Alert on the Medical Tab, text boxes in the Medical Info, entering Chart Notes, etc.

Insert Image into Email
• Increased the max image size to 1MB.

SMS Monitor
• Fixed to display the correct error message when the send limit is reached. Message displayed will now read: “SMS Send Rate Limit Exceeded”.

MaxiMessenger
This new, highly anticipated feature allows for 2-way texting with your patients. Note: This only works if you are currently a MaxiReminder subscriber.

Appointment Book

Add/Edit Appointment Window
• MaxiPlanner > Add / Edit Appointment window – turned off the “Is Recalled” field as it was causing confusion with users.

Waiting List
• Added patient’s Mobile phone and an Urgency ranking to each Waiting List entry. Urgency allows an entry to be ranked from 0-9 with 0 being least urgent and 9 requiring more immediate booking. By single left-clicking on the header for any column, you can sort the list so that from the Urgency column you can see your most to least Urgent entries in order.
• Waiting List Icon – updated, making it easier to identify in MaxiPlanner.

SMS Message
• Enhanced option from a right-click on an Appointment to send SMS message directly to the patient regarding that appointment. Content for the message is set under System > Preferences > Location Preferences > Reports > Default subject and message for calendar appointment email. Tokens are available here for populating the message customized to each patient. (Requires MaxiReminder)

Add New Blockout
• MaxiPlanner > Add New Blockout – Provider/Chair is now blank and Provider(s) or Chair(s) options must be selected to create the Blockout.

Appointment Status
• Appointment Status reset prompt should only come up when the date/time of the appointment is changed. Updated to only prompt for Status change when the date and/or time of the Appointment is changed. If the Appointment is moved between providers and/or chairs, the prompt will not appear.

Unscheduled Appointment
• MaxiPlanner > Unscheduled Appointment – added new filter for “Date Modified” of the Unscheduled Appointment. In the Filter options, we have added From and To filters for Date Modified on the Unscheduled Appointment so you can sort by a date range for when the Unscheduled Appointment was last updated, in addition to Date Created.

• Operations > Never Lose a Patient Recall and Appointment System – expanded the date fields to accommodate more date format options including DD/MM/YYYY.

• Operations > Never Lose a Treatment Plan – added hidden filter to exclude Inactive patients as Deleted patients were previously removed through hidden filter option.

Reminders
• Manage > Reminders – when creating a new Reminder, the system was updated to select no Users by default. All Users to display the Reminder must now be manually selected.

Insurance Companies and Policies
• Manage > Insurance Companies and Policies > Insurance Company > General Tab – updated the Phone Number to allow re-prioritizing of the listed phone numbers.

Insurance Tab
• Patient Ledger > Insurance tab – added a memo field specific to the patient and for each policy on the patient’s profile. The button is visible from the Insurance tab on the Patient Ledger, in the Patient Management window and from Patient’s Insurance Coverage in MaxiChart.
• Maxident > Insurance Tab > Add new Policy – when moving from searching for the policy in existing policies to adding a new policy based on Policy Number searched, we changed the Insurance Manager to bring the policy number searched for into the new policy automatically, instead of requiring it to be reentered.

Receipt History
• History > Receipt History > Invoice Date – updated to include an information tool tip for Invoice Dates appearing as ranges to notify the user that more than one Invoice was paid.

Treatment Plan Manager
• Patient Ledger > Treatment Plan Manager > Preauthorizations tab – added a new checkbox to indicate whether the preauthorization response was sent to the patient or the office once the Plan is marked “The insurer has approved this Treatment Plan”. Until that option is checked, the options for “Preauthorization sent to office” and “Preauthorization sent to patient” will remain hidden.

Printed Insurance Claim Form
• Patient Ledger > Treatment Ticket > Printed Insurance Claim form – added an answer to Part 3 Question A of the form “Are any dental benefits or services provided under any other group insurance or dental plan, W.C.B, Government Plan, or if a result of an accident, a motor vehicle or accident insurance plan?”System will select No if the patient has only one insurance policy, Yes if patient has more than one.This only affects NIHB claim forms.

Profile Tab

• Ledger > Profile tab – added a new button for “Send SMS” under phone number section to launch MaxiMessenger for that patient. This allows for 2-way texting with patients. This only works if you are currently a MaxiReminder subscriber.

Posted Note
• Maxident > Patient Ledger > Posted Note – Stamp function previously used the Windows User Account. It has now been changed to use the Maxident User Account to track which user made the change. Bank Deposit Review by Treatment Provider Detail/Summary
• Reports > General Reports > Review > Bank Deposit Review by Treatment Provider Detail / Summary updated to not include Adjustments in the transactions listed. The reason is that Adjustments should not be part of a Bank Deposit Report as they are not monies received.

Referral Form for Current Patient Printout
• Reports > Referral Form for Current Patient Printout – increased the font size on the printout for the Consultation, Treatment, and Relevant History notes to make it more readable.

Detailed Receipts
• Maxident > Payments > Detailed Receipts – fixed to print in French for the patients who are set to French language on their Administrative Tab.

Practice Summary Report
• Reports > General Reports > Review > Practice Summary Report corrected to show correct Payment Totals for Billing and Treatment Provider on both Fiscal and Posting Date versions of the report.

Bulk Payment Operation
• Added the ability to write an Invoice Note during the Bulk Payment Operation. You can now click on the Invoice Note field for any invoice on the patient’s ledger to add a note. Also, at the start of a Bulk Payment Operation, a note can be entered to save on all invoices where a payment is applied.

• Maxident > Bulk Payment – added the ability to perform a Charge Redistribution during a Bulk Payment operation. While completing a Bulk Payment entry, if a Charge Redistribution is required on an invoice, simply press and hold CTRL then left-click anywhere on that Invoice line to perform a Charge Redistribution while your Bulk Payment is still in progress. Once the Charge Redistribution is complete, continue with your Bulk Payment operation.

Confirmation Labels
• Reports > General Reports > Appointment > Confirmation Labels – added criteria to exclude patients that had an SMS Reminder sent as well as those with an Email Reminder sent. Filters work for either SMS or Email or both depending on selected options.

Family Account Summary
• Reports > General Reports > Review > “Family Account Summary” – found an issue with the Date Range selector. Fixed to run properly with Date Range set to All, or to separate From and To dates.

Charted Future Treatment
• Reports > General Reports > Listings > “Charted Future Treatment Report” – added sort options for “Date Created” and “Patient Name” to go with existing options of “Patient Number” and “City Name”.

Adjustment Amount
• Maxident > Adjustments > Adjustment amount – found the Adjustment amount was off by $0.01 from what the user entered. Updated the code to properly redistribute amounts between the payments.

Close Day/Close Month/Close Year
• Operations > Close Day/Close Month/Close Year – added a new option to “Preview Reports” before performing the Close Operation. All selected reports will show in the Preview window when selected.

Referral Summary
• Maxident > Reports > General Reports > Referral Summary – report was taking a long time to run so we improved the queries that generate the report to speed up the report production.

Fee Guides and Procedures
• Fee Guides and Procedures > System default fee guide – added date tracking for default Fee Guide Changes to record in the database when the Fee Guide is changed/updated. This was done to provide additional tracking in the database for when Fee Guide updates were completed.

Practice and Locations
• System > Practice and Locations > Location > Profile tab > Email – updated the email field to allow for longer office email addresses.

 

Management Screens

Document Manager

  • Will remember the width of columns when the columns are manually resized. The resized columns will be remembered by the system when the Document Manager is closed and reopened for the same or a different patient.

EDI Manager

  • EDI – iCA v3 or higher, a screen pops up every time a claim is sent instead of remaining minimized in the Taskbar at the bottom of the screen. Fixed to remain open and minimized between claims so it will not pop up with each claim.

 

Never Lose a Patient Recall and Appointment System (NLAPRAAS)

  • Should display patient’s preferred name in the window. Updated to display the Preferred Name in the lower right with the patient’s personal information.

Treatment Plan Manager

  • Treatment Plan Manager > Insurance Tab – When editing the “Approval Note” section, the Save All Changes button does not get enabled. Fixed to enable the Save All Changes button as the text is entered into the “Approval Note” section on the Insurance Tab.
  • Added the ability to print a Treatment Estimate with only selected Treatments from the Treatment Plan/Estimate selected. When printing a Treatment Estimate, only the selected codes will appear on the printed sheet.

Patient Ledger and Accounting Operations

Medical Info

  • Added a button for “No change since the last visit” so that nothing needs to be added or changed to activate the “Save Changes” button when the patient comes in. This is so that you do not have to update an answer to a question or add a custom question regarding changes to save an updated copy of your patient’s Medical History.
  • Medical Info > Page 2 > Conditions – Condition for “Sleep Apnea” added.

Payment

  • The pop-up message at the end of a patient payment to Print or Email the Receipt for the patient required a default setting. Added an option on the Administrative Tab to set the default to Print or Email. Initial default for all patients is to Print.

Find Patient Screen

  • Added a prompt allowing you to confirm before displaying large search results in the window, as large search results can take longer to load. You can select to display the results or cancel and refine your search instead of waiting for the results to load.

Medical Tab

  • Health ID Province field was not wide enough to display all information entered. Due to spacing concerns, instead of making the Health ID Prov/State field larger, we added a Memo field below to allow for notes to be entered regarding the patient’s Health ID, such as their expiry date or reset information.

Statements

  • Printing a Statement for a family from “Statements” on the Patient Ledger will now save a copy to the Head of Family’s Documents folder for later reference, along with recording the Statement date/time on the Administrative Tab in Statement History.

Insurance Tab

  • Added DOB for policyholder on the Insurance tab for both Policyholder and any Dependents. This will save time when double-checking that the information is entered correctly for the Policyholder if there are concerns with the claim.

Profile Tab

  • Emergency Contact Info on the Profile Tab needs an indicator to show no data exists. Added an indicator to show when data exists and when it does not.
    • A red box with an exclamation mark indicates data is missing, while a green circle with a check mark indicates data is present.

Treatment Ticket (Billing and Treatment Plan/Estimates)

Treatment Ticket

  • Same option to email receipt at the end of a payment on the patient’s Ledger has been added to Treatment Ticket. The settings must be present to email individual receipts and the Head of Family must have an email address on their profile; the same settings are required to email a receipt after Patient Payment.
  • Discount window in Treatment Ticket will now prompt if a Discount was already applied to that Treatment Ticket before adding a Discount twice. This situation can happen when a Treatment Ticket is put on Relay after a Discount is applied and then when reopened to continue unless you know the prices of the regular Fee Guide to know a discount was applied, you may be looking to apply it a second time.

Reports and Printouts

Referral Form for Current Patient Data Entry

  • The fields for Consultation, Treatment, and Relevant History have been expanded and will adjust automatically for longer content. The Relevant History field is the largest and, with enough content, this form will print on two pages instead of the default 1 page it starts with.

Procedure Analysis by Practice Report

  • This report has been added to show procedures for the practice as a whole and not grouped by the Provider, allowing a more complete view of what is happening in the practice. The Procedure Analysis by Provider Reports is still available.

 

Patient Listing by Medical Condition

  • Added to Reports from Patient Ledger – “Patient Listing by Medical Conditions”. This report allows you to see how many patients have Conditions from Page 2 of the Medical Info window. Report shows patients by name and which Medical Condition(s) they have that qualify them to appear in the generated report.

 

Bank Deposit Summary Report

  • Reformatted for Insurance Payments to group by Insurance Company, as the Bank Deposit Detailed Report already does. Previously, the report lumped all Insurance Payments together similar to the section with Patient Payments. Now, the report is separated with the individual Insurance Companies and payments on those invoices for easier reading and verification of payments into your bank accounts.

 

Operations > Email Statements Window

  • Email Statements is available to offices with a Bulk Email Statement subscription, if you are interested, please let your Account Manager know. When activated, if there are no patients with Email Statements checked on the Administrative Tab, a message will appear to indicate no patients have this option selected and where to update when “Send Emails” is selected in this window.

 

Relay Listing Report

  • Relay Listing Report from Reports > General Reports— the Date Range printed on the report was only the Fiscal Date Range. Added columns for Fiscal Date and Posting Date to show all dates in the report to make the report easier to read.

 

Bank Deposit Review Detail Report

  • Updated with a note at the bottom of the report to identify which Methods of Payment are listed under “Other” when only some Methods of Payment are selected instead of All Combined Payment Method.

 

Patients without Future Appointment and Recall

  • In Listings > “Patients Without Future Appointment and Without Recall” & “Patients Without Future Appointment OR Without Recall”, have added criteria to search by Last Appointment Date range to find patients based on when they were last in the office.

 

Close Day/Month/Year

  • Added an option to archive reports selected to run with each Close operation. In each Close window, there is a new checkbox to “Archive Selected Reports,” which will automatically record the reports that day to the computer the Close operation is performed on. If this computer is switched out later, these reports would have to be manually moved to a new workstation

 

MaxiPlanner – Scheduler Enhancements

Appointment Book

“Date Added to Short List”

  • Added a field for Date Added to Short List. Previously, only the Date the Appointment was created was listed. The Short List can also be sorted to the Date Added to Short List by clicking on that header so that you can choose whether to work with newer or older entries first.                                                                     

Unscheduled Appointments   

  • Added columns for “Date Created” and “Date Modified” to show when the Unscheduled Appointment was added to the listing and last modified.
  • In Unscheduled Appointment Manager, we added the ability to filter by name (a-z), by preferred provider, by units of time on the Unscheduled Appointment, by creation label (Treatment Plan, Patient, or Resto Treatment Set) and by family. Clicking on the new “Filter” button will provide sorting options. If the list is set to Column Sort then the column sorted by is highlighted in blue.
  • Treatment column does not need to show the additional text of “Resto Treatment Set”, “Patient” or “Treatment Plan”. We added an option to “Show Extended Treatment Description” in the Unscheduled Appointment window. When selected, this text will appear and when unselected, it will not, making the Treatment Column easier to read without resizing the Unscheduled Appointments window in the Scheduler.

Find Free Time

  • Added an option to not include “Available Blockout” in the settings. The option to not include “Available Blockouts” is selected by default and Unavailable Blockouts are still hidden in Find Free Time search results. This allows you to select it if you want to see time marked with an Available Blockout in your search results or not, to find time for your patient.

“Active” Providers

  • Added option in Manage > Providers to specify if a Provider is Active, similar to the setting for Patients. When Active is unchecked, a provider will not appear in lists like Waiting List, Unscheduled Appointments, Chairs, Edit Providers and “Show List of providers who work today”.

Patient Recalls  

  • When booking a patient’s appointment, the warning message regarding the patient’s Recalls due after the scheduled appointment date would not show while booking an appointment for Today’s Date. Updated to show the warning message on Today’s Date as well.

Miscellaneous

Spell Check

  • Enhanced functionality to add words to the dictionary in Maxident and MaxiChart. Once a word is underlined in red you can right-click on it and “Add to dictionary” or “Check spelling”. Once a word is in the dictionary, options to “Check spelling”, “Ignore”, “Change” or “Cancel” will appear.

Booking Over a Cancelled Appointment
• MaxiPlanner > booking over a Cancelled Appointment – found that if the Program Option to Allow booking over “soft” appointments was not selected, could still book over and it created an Overlapping Appointment. Fixed to allow booking over a soft appointment only when the option is selected and the Appointment Status is “soft”.

Unscheduled Appointments
• MaxiPlanner > Unscheduled Appointment window > Date sort is incorrect – fixed the date sort to read the date properly no matter the order format. The date was read properly in a MM-DD-YYYY format but not in a DD-MM-YYYY format or others.

Provider View

• In the Provider View, the user was not able to book an appointment on top of a Cancelled Appointment, when clicked, it opened to edit the existing Cancelled Appointment. Fixed to open a new Appointment when the existing Appointment is Cancelled.

Management Screens

Insurance Manager
• Insurance Manager > Insurance Company Phone numbers – was unable to delete. Fixed to allow deletion of phone number from the Insurance Company.

Insurance Companies and Policies
• Manage > Insurance Companies and Policies > Insurance Company > Add New Insurance Company– found an error adding new insurance company. Issue affected specific Postgres database offices and was fixed via application of a script. If required for your office please reach out to your Account Manager/Support Tech for assistance.

Patient Ledger and Accounting Operations

Find Patient

• Searching patient by phone number in Standard Find – fixed the error message to include information on functional search criteria while still allowing the creation of a new patient.

Account or Treatment History
• Patient Ledger > History > Account History or Treatment History – printout was found to have the incorrect name for the patient’s information being printed. Corrected to print the proper name for each patient for each history entry.

Treatment Plan
• Treatment Plan Indicator was not showing when it should’ve been in a specific circumstance. If a Future Treatment was entered on the patient’s chart in MaxiChart and sent to a Treatment Plan but that Plan was later deleted from Maxident and the Future Treatment added to a new Treatment Plan within MaxiChart, the Treatment Plan icon was not appearing/updating properly. Fixed to appear/ update properly as a new Treatment Plan is created.

Treatment Plan Manager
• PreAuthorization tab was listing primary insurance policy companies as “Undefined” instead of by name and missing second company information completely when the Treatment Plan was created from MaxiChart. Fixed to show proper insurance company names and both insurance policies for patients.
• Maxident > Treatment Plan Manager > Show Deleted Treatment Plans – fixed a defect that caused any deleted Treatment Plans for the patient to not appear when “Show Deleted Treatment Plans”was selected.

Scanner
• Patient Ledger > Document Manager > Scanner > “Add PDF from Scanner” – fixed to work again as it stopped working properly to add a PDF directly from the Scanner.

Payment History
• Patient Ledger > History > Payment History – found a concern with the display. Fixed to properly display the selected patient/family Payment History.

Referral Form for Current Patient
• Patient Ledger > Reports > Referral Form for Current Patient – found that the Referral Form was not correctly creating a second page when there was additional text in Condition or Treatment. Updated to properly create a second page when additional text is entered on these or the Relevant History fields.

Receipt History
• Maxident > Patient Ledger > Receipt History – found that on occasion there were duplicate records produced which caused errors in printing the Receipt History for some patients. Fixed errors that caused the duplication. There was no corruption of the data, merely a duplication.

Reports and Printouts

Patient Listing Report
• Reports > General Reports > Listings > Patient Listing Report – fixed Next Appointment Date in the Settings> Patient Information > Next Appt Date, to work properly. Also improved MaxiPlanner indexing of Appointments to be more efficient.

Claim Forms

• Claim Forms > Nova Scotia Claim Form was printing with wrong provider’s unique ID when an alternate provider was listed as Billing Provider for that day. Fixed to pull correct provider’s unique ID regardless of which provider is listed as Billing Provider for current day’s treatment.

Email Statements
• Operations > Email Statements > “Preview Patient List/Edit Footnotes” > updates to notes were not saving. Fixed to update the patient Statement Footnotes from this window to save on the Administrative Tab > Statement Footnote section as it did previously.

Procedures Itemized by Billing Provider or by Treatment Provider
• General Reports > Production > Procedures Itemized by Billing Provider or by Treatment Provider lab codes were not being reported properly for count and amount. Fixed to display lab and procedure codes properly for count and amount charged.

User Defined Recalls
• Maxident > Reports > General Reports > Recalls > User Defined Recalls – report was showing Last Appointment Date even when last appointment was marked with status Cancelled. Fixed to display Last Appointment Date as the actual last appointment and not count Cancelled Appointments.

MaxiForms
• Maxident > Operations > MaxiForms Manager AND Patient > MaxiForms – when creating a MaxiForm in the MaxiForms Manager, it is essential to use only unicode characters for items like boxes and regular text. MaxiForms does not support the use of Wingdings in printouts and that would cause text to be missing on printout.

Miscellaneous

Maxident operating on a Touch Screen Tablet
• On-Screen keyboard was not coming up when it should’ve been for text windows. Fixed to open the keyboard on-screen with a double tap of the free-form field space if it does not appear immediately. Spaces include Medical Alert on the Medical Tab, text boxes in the Medical Info, entering Chart Notes, etc.

Insert Image into Email
• Increased the max image size to 1MB.

SMS Monitor
• Fixed to display the correct error message when the send limit is reached. Message displayed will now read: “SMS Send Rate Limit Exceeded”.

Content for the message is set under System > Preferences > Location Preferences > Reports > Default subject and message for calendar appointment email. Tokens are available here for populating the message customized to each patient. (Requires MaxiReminder)

Add New Blockout
• MaxiPlanner > Add New Blockout – Provider/Chair is now blank and Provider(s) or Chair(s) options must be selected to create the Blockout.

Appointment Status
• Appointment Status reset prompt should only come up when the date/time of the appointment is changed. Updated to only prompt for Status change when the date and/or time of the Appointment is changed. If the Appointment is moved between providers and/or chairs, the prompt will not appear.

Unscheduled Appointment
• MaxiPlanner > Unscheduled Appointment – added new filter for “Date Modified” of the Unscheduled Appointment. In the Filter options, we have added From and To filters for Date Modified on the Unscheduled Appointment so you can sort by a date range for when the Unscheduled Appointment was last updated, in addition to Date Created.

Never-Lose-a-Patient Recall and Appointment System (NLAPRAS)
• Operations > Never Lose a Patient Recall and Appointment System – expanded the date fields to accommodate more date format options including DD/MM/YYYY.
Never-Lose-a-Treatment-Plan

• Operations > Never Lose a Treatment Plan – added hidden filter to exclude Inactive patients as Deleted patients were previously removed through hidden filter option.

Reminders
• Manage > Reminders – when creating a new Reminder, the system was updated to select no Users by default. All Users to display the Reminder must now be manually selected.

Insurance Companies and Policies
• Manage > Insurance Companies and Policies > Insurance Company > General Tab – updated the Phone Number to allow re-prioritizing of the listed phone numbers.

Patient Ledger and Accounting Operations

Insurance Tab
• Patient Ledger > Insurance tab – added a memo field specific to the patient and for each policy on the patient’s profile. The button is visible from the Insurance tab on the Patient Ledger, in the Patient Management window and from Patient’s Insurance Coverage in MaxiChart.
• Maxident > Insurance Tab > Add new Policy – when moving from searching for the policy in existing policies to adding a new policy based on Policy Number searched, we changed the Insurance Manager to bring the policy number searched for into the new policy automatically, instead of requiring it to be reentered.

Receipt History
• History > Receipt History > Invoice Date – updated to include an information tool tip for Invoice Dates appearing as ranges to notify the user that more than one Invoice was paid.

Treatment Plan Manager
• Patient Ledger > Treatment Plan Manager > Preauthorizations tab – added a new checkbox to indicate whether the preauthorization response was sent to the patient or the office once the Plan is marked “The insurer has approved this Treatment Plan”. Until that option is checked, the options for “Preauthorization sent to office” and “Preauthorization sent to patient” will remain hidden.

Printed Insurance Claim Form
• Patient Ledger > Treatment Ticket > Printed Insurance Claim form – added an answer to Part 3 Question A of the form “Are any dental benefits or services provided under any other group insurance or dental plan, W.C.B, Government Plan, or if a result of an accident, a motor vehicle or accident insurance plan?”System will select No if the patient has only one insurance policy, Yes if patient has more than one.This only affects NIHB claim forms.

Profile Tab

• Ledger > Profile tab – added a new button for “Send SMS” under phone number section to launch MaxiMessenger for that patient. This allows for 2-way texting with patients. This only works if you are currently a MaxiReminder subscriber.

Posted Note
• Maxident > Patient Ledger > Posted Note – Stamp function previously used the Windows User Account. It has now been changed to use the Maxident User Account to track which user made the change. Bank Deposit Review by Treatment Provider Detail/Summary
• Reports > General Reports > Review > Bank Deposit Review by Treatment Provider Detail / Summary updated to not include Adjustments in the transactions listed. The reason is that Adjustments should not be part of a Bank Deposit Report as they are not monies received.

Administrative Reports

• Reports > Administrative Reports > User Activity Audit Trail – “Payment Reversal from Voiding an Invoice” was not showing. It now does.

Accounts Receivable
• Maxident > Reports > General Reports > Accounts Receivable – AR reports were not filtering properly to show only invoices with a balance greater than .01. Updated to filter properly when selected.

Referral Form for Current Patient Printout
• Reports > Referral Form for Current Patient Printout – increased the font size on the printout for the Consultation, Treatment, and Relevant History notes to make it more readable.

Detailed Receipts
• Maxident > Payments > Detailed Receipts – fixed to print in French for the patients who are set to French language on their Administrative Tab.

Practice Summary Report
• Reports > General Reports > Review > Practice Summary Report corrected to show correct Payment Totals for Billing and Treatment Provider on both Fiscal and Posting Date versions of the report.

Bulk Payment Operation
• Added the ability to write an Invoice Note during the Bulk Payment Operation. You can now click on the Invoice Note field for any invoice on the patient’s ledger to add a note. Also, at the start of a Bulk Payment Operation, a note can be entered to save on all invoices where a payment is applied.

• Maxident > Bulk Payment – added the ability to perform a Charge Redistribution during a Bulk Payment operation. While completing a Bulk Payment entry, if a Charge Redistribution is required on an invoice, simply press and hold CTRL then left-click anywhere on that Invoice line to perform a Charge Redistribution while your Bulk Payment is still in progress. Once the Charge Redistribution is complete, continue with your Bulk Payment operation.

Confirmation Labels
• Reports > General Reports > Appointment > Confirmation Labels – added criteria to exclude patients that had an SMS Reminder sent as well as those with an Email Reminder sent. Filters work for either SMS or Email or both depending on selected options.

Family Account Summary
• Reports > General Reports > Review > “Family Account Summary” – found an issue with the Date Range selector. Fixed to run properly with Date Range set to All, or to separate From and To dates.

Charted Future Treatment
• Reports > General Reports > Listings > “Charted Future Treatment Report” – added sort options for “Date Created” and “Patient Name” to go with existing options of “Patient Number” and “City Name”.

Adjustment Amount
• Maxident > Adjustments > Adjustment amount – found the Adjustment amount was off by $0.01 from what the user entered. Updated the code to properly redistribute amounts between the payments.

Close Day/Close Month/Close Year
• Operations > Close Day/Close Month/Close Year – added a new option to “Preview Reports” before performing the Close Operation. All selected reports will show in the Preview window when selected.

Referral Summary
• Maxident > Reports > General Reports > Referral Summary – report was taking a long time to run so we improved the queries that generate the report to speed up the report production.

Fee Guides and Procedures
• Fee Guides and Procedures > System default fee guide – added date tracking for default Fee Guide Changes to record in the database when the Fee Guide is changed/updated. This was done to provide additional tracking in the database for when Fee Guide updates were completed.

Practice and Locations
• System > Practice and Locations > Location > Profile tab > Email – updated the email field to allow for longer office email addresses.

 

Management Screens

Document Manager

  • Will remember the width of columns when the columns are manually resized. The resized columns will be remembered by the system when the Document Manager is closed and reopened for the same or a different patient.

EDI Manager

  • EDI – iCA v3 or higher, a screen pops up every time a claim is sent instead of remaining minimized in the Taskbar at the bottom of the screen. Fixed to remain open and minimized between claims so it will not pop up with each claim.

 

Never Lose a Patient Recall and Appointment System (NLAPRAAS)

  • Should display patient’s preferred name in the window. Updated to display the Preferred Name in the lower right with the patient’s personal information.

Treatment Plan Manager

  • Treatment Plan Manager > Insurance Tab – When editing the “Approval Note” section, the Save All Changes button does not get enabled. Fixed to enable the Save All Changes button as the text is entered into the “Approval Note” section on the Insurance Tab.
  • Added the ability to print a Treatment Estimate with only selected Treatments from the Treatment Plan/Estimate selected. When printing a Treatment Estimate, only the selected codes will appear on the printed sheet.

Patient Ledger and Accounting Operations

Medical Info

  • Added a button for “No change since the last visit” so that nothing needs to be added or changed to activate the “Save Changes” button when the patient comes in. This is so that you do not have to update an answer to a question or add a custom question regarding changes to save an updated copy of your patient’s Medical History.
  • Medical Info > Page 2 > Conditions – Condition for “Sleep Apnea” added.

Payment

  • The pop-up message at the end of a patient payment to Print or Email the Receipt for the patient required a default setting. Added an option on the Administrative Tab to set the default to Print or Email. Initial default for all patients is to Print.

Find Patient Screen

  • Added a prompt allowing you to confirm before displaying large search results in the window, as large search results can take longer to load. You can select to display the results or cancel and refine your search instead of waiting for the results to load.

Medical Tab

  • Health ID Province field was not wide enough to display all information entered. Due to spacing concerns, instead of making the Health ID Prov/State field larger, we added a Memo field below to allow for notes to be entered regarding the patient’s Health ID, such as their expiry date or reset information.

Statements

  • Printing a Statement for a family from “Statements” on the Patient Ledger will now save a copy to the Head of Family’s Documents folder for later reference, along with recording the Statement date/time on the Administrative Tab in Statement History.

Insurance Tab

  • Added DOB for policyholder on the Insurance tab for both Policyholder and any Dependents. This will save time when double-checking that the information is entered correctly for the Policyholder if there are concerns with the claim.

Profile Tab

  • Emergency Contact Info on the Profile Tab needs an indicator to show no data exists. Added an indicator to show when data exists and when it does not.
    • A red box with an exclamation mark indicates data is missing, while a green circle with a check mark indicates data is present.

Treatment Ticket (Billing and Treatment Plan/Estimates)

Treatment Ticket

  • Same option to email receipt at the end of a payment on the patient’s Ledger has been added to Treatment Ticket. The settings must be present to email individual receipts and the Head of Family must have an email address on their profile; the same settings are required to email a receipt after Patient Payment.
  • Discount window in Treatment Ticket will now prompt if a Discount was already applied to that Treatment Ticket before adding a Discount twice. This situation can happen when a Treatment Ticket is put on Relay after a Discount is applied and then when reopened to continue unless you know the prices of the regular Fee Guide to know a discount was applied, you may be looking to apply it a second time.

Reports and Printouts

Referral Form for Current Patient Data Entry

  • The fields for Consultation, Treatment, and Relevant History have been expanded and will adjust automatically for longer content. The Relevant History field is the largest and, with enough content, this form will print on two pages instead of the default 1 page it starts with.

Procedure Analysis by Practice Report

  • This report has been added to show procedures for the practice as a whole and not grouped by the Provider, allowing a more complete view of what is happening in the practice. The Procedure Analysis by Provider Reports is still available.

 

Patient Listing by Medical Condition

  • Added to Reports from Patient Ledger – “Patient Listing by Medical Conditions”. This report allows you to see how many patients have Conditions from Page 2 of the Medical Info window. Report shows patients by name and which Medical Condition(s) they have that qualify them to appear in the generated report.

 

Bank Deposit Summary Report

  • Reformatted for Insurance Payments to group by Insurance Company, as the Bank Deposit Detailed Report already does. Previously, the report lumped all Insurance Payments together similar to the section with Patient Payments. Now, the report is separated with the individual Insurance Companies and payments on those invoices for easier reading and verification of payments into your bank accounts.

 

Operations > Email Statements Window

  • Email Statements is available to offices with a Bulk Email Statement subscription, if you are interested, please let your Account Manager know. When activated, if there are no patients with Email Statements checked on the Administrative Tab, a message will appear to indicate no patients have this option selected and where to update when “Send Emails” is selected in this window.

 

Relay Listing Report

  • Relay Listing Report from Reports > General Reports— the Date Range printed on the report was only the Fiscal Date Range. Added columns for Fiscal Date and Posting Date to show all dates in the report to make the report easier to read.

 

Bank Deposit Review Detail Report

  • Updated with a note at the bottom of the report to identify which Methods of Payment are listed under “Other” when only some Methods of Payment are selected instead of All Combined Payment Method.

 

Patients without Future Appointment and Recall

  • In Listings > “Patients Without Future Appointment and Without Recall” & “Patients Without Future Appointment OR Without Recall”, have added criteria to search by Last Appointment Date range to find patients based on when they were last in the office.

 

Close Day/Month/Year

  • Added an option to archive reports selected to run with each Close operation. In each Close window, there is a new checkbox to “Archive Selected Reports,” which will automatically record the reports that day to the computer the Close operation is performed on. If this computer is switched out later, these reports would have to be manually moved to a new workstation

 

MaxiPlanner – Scheduler Enhancements

Appointment Book

“Date Added to Short List”

  • Added a field for Date Added to Short List. Previously, only the Date the Appointment was created was listed. The Short List can also be sorted to the Date Added to Short List by clicking on that header so that you can choose whether to work with newer or older entries first.                                                                     

Unscheduled Appointments   

  • Added columns for “Date Created” and “Date Modified” to show when the Unscheduled Appointment was added to the listing and last modified.
  • In Unscheduled Appointment Manager, we added the ability to filter by name (a-z), by preferred provider, by units of time on the Unscheduled Appointment, by creation label (Treatment Plan, Patient, or Resto Treatment Set) and by family. Clicking on the new “Filter” button will provide sorting options. If the list is set to Column Sort then the column sorted by is highlighted in blue.
  • Treatment column does not need to show the additional text of “Resto Treatment Set”, “Patient” or “Treatment Plan”. We added an option to “Show Extended Treatment Description” in the Unscheduled Appointment window. When selected, this text will appear and when unselected, it will not, making the Treatment Column easier to read without resizing the Unscheduled Appointments window in the Scheduler.

Find Free Time

  • Added an option to not include “Available Blockout” in the settings. The option to not include “Available Blockouts” is selected by default and Unavailable Blockouts are still hidden in Find Free Time search results. This allows you to select it if you want to see time marked with an Available Blockout in your search results or not, to find time for your patient.

“Active” Providers

  • Added option in Manage > Providers to specify if a Provider is Active, similar to the setting for Patients. When Active is unchecked, a provider will not appear in lists like Waiting List, Unscheduled Appointments, Chairs, Edit Providers and “Show List of providers who work today”.

Patient Recalls  

  • When booking a patient’s appointment, the warning message regarding the patient’s Recalls due after the scheduled appointment date would not show while booking an appointment for Today’s Date. Updated to show the warning message on Today’s Date as well.

Miscellaneous

Spell Check

  • Enhanced functionality to add words to the dictionary in Maxident and MaxiChart. Once a word is underlined in red you can right-click on it and “Add to dictionary” or “Check spelling”. Once a word is in the dictionary, options to “Check spelling”, “Ignore”, “Change” or “Cancel” will appear.

Booking Over a Cancelled Appointment
• MaxiPlanner > booking over a Cancelled Appointment – found that if the Program Option to Allow booking over “soft” appointments was not selected, could still book over and it created an Overlapping Appointment. Fixed to allow booking over a soft appointment only when the option is selected and the Appointment Status is “soft”.

Unscheduled Appointments
• MaxiPlanner > Unscheduled Appointment window > Date sort is incorrect – fixed the date sort to read the date properly no matter the order format. The date was read properly in a MM-DD-YYYY format but not in a DD-MM-YYYY format or others.

Provider View

• In the Provider View, the user was not able to book an appointment on top of a Cancelled Appointment, when clicked, it opened to edit the existing Cancelled Appointment. Fixed to open a new Appointment when the existing Appointment is Cancelled.

Management Screens

Insurance Manager
• Insurance Manager > Insurance Company Phone numbers – was unable to delete. Fixed to allow deletion of phone number from the Insurance Company.

Insurance Companies and Policies
• Manage > Insurance Companies and Policies > Insurance Company > Add New Insurance Company– found an error adding new insurance company. Issue affected specific Postgres database offices and was fixed via application of a script. If required for your office please reach out to your Account Manager/Support Tech for assistance.

Patient Ledger and Accounting Operations

Find Patient

• Searching patient by phone number in Standard Find – fixed the error message to include information on functional search criteria while still allowing the creation of a new patient.

Account or Treatment History
• Patient Ledger > History > Account History or Treatment History – printout was found to have the incorrect name for the patient’s information being printed. Corrected to print the proper name for each patient for each history entry.

Treatment Plan
• Treatment Plan Indicator was not showing when it should’ve been in a specific circumstance. If a Future Treatment was entered on the patient’s chart in MaxiChart and sent to a Treatment Plan but that Plan was later deleted from Maxident and the Future Treatment added to a new Treatment Plan within MaxiChart, the Treatment Plan icon was not appearing/updating properly. Fixed to appear/ update properly as a new Treatment Plan is created.

Treatment Plan Manager
• PreAuthorization tab was listing primary insurance policy companies as “Undefined” instead of by name and missing second company information completely when the Treatment Plan was created from MaxiChart. Fixed to show proper insurance company names and both insurance policies for patients.
• Maxident > Treatment Plan Manager > Show Deleted Treatment Plans – fixed a defect that caused any deleted Treatment Plans for the patient to not appear when “Show Deleted Treatment Plans”was selected.

Scanner
• Patient Ledger > Document Manager > Scanner > “Add PDF from Scanner” – fixed to work again as it stopped working properly to add a PDF directly from the Scanner.

Payment History
• Patient Ledger > History > Payment History – found a concern with the display. Fixed to properly display the selected patient/family Payment History.

Referral Form for Current Patient
• Patient Ledger > Reports > Referral Form for Current Patient – found that the Referral Form was not correctly creating a second page when there was additional text in Condition or Treatment. Updated to properly create a second page when additional text is entered on these or the Relevant History fields.

Receipt History
• Maxident > Patient Ledger > Receipt History – found that on occasion there were duplicate records produced which caused errors in printing the Receipt History for some patients. Fixed errors that caused the duplication. There was no corruption of the data, merely a duplication.

Reports and Printouts

Patient Listing Report
• Reports > General Reports > Listings > Patient Listing Report – fixed Next Appointment Date in the Settings> Patient Information > Next Appt Date, to work properly. Also improved MaxiPlanner indexing of Appointments to be more efficient.

Claim Forms

• Claim Forms > Nova Scotia Claim Form was printing with wrong provider’s unique ID when an alternate provider was listed as Billing Provider for that day. Fixed to pull correct provider’s unique ID regardless of which provider is listed as Billing Provider for current day’s treatment.

Email Statements
• Operations > Email Statements > “Preview Patient List/Edit Footnotes” > updates to notes were not saving. Fixed to update the patient Statement Footnotes from this window to save on the Administrative Tab > Statement Footnote section as it did previously.

Procedures Itemized by Billing Provider or by Treatment Provider
• General Reports > Production > Procedures Itemized by Billing Provider or by Treatment Provider lab codes were not being reported properly for count and amount. Fixed to display lab and procedure codes properly for count and amount charged.

User Defined Recalls
• Maxident > Reports > General Reports > Recalls > User Defined Recalls – report was showing Last Appointment Date even when last appointment was marked with status Cancelled. Fixed to display Last Appointment Date as the actual last appointment and not count Cancelled Appointments.

MaxiForms
• Maxident > Operations > MaxiForms Manager AND Patient > MaxiForms – when creating a MaxiForm in the MaxiForms Manager, it is essential to use only unicode characters for items like boxes and regular text. MaxiForms does not support the use of Wingdings in printouts and that would cause text to be missing on printout.

Miscellaneous

Maxident operating on a Touch Screen Tablet
• On-Screen keyboard was not coming up when it should’ve been for text windows. Fixed to open the keyboard on-screen with a double tap of the free-form field space if it does not appear immediately. Spaces include Medical Alert on the Medical Tab, text boxes in the Medical Info, entering Chart Notes, etc.

Insert Image into Email
• Increased the max image size to 1MB.

SMS Monitor
• Fixed to display the correct error message when the send limit is reached. Message displayed will now read: “SMS Send Rate Limit Exceeded”.

SMS Reminders

• SMS Reminders Auto-confirm logic enhanced to confirm next appointment for patient with the corresponding mobile number only. NOTE: if the patient responds “Yes” or with a letter “Y”, with the default system settings, more than once, future appointments will be updated to a “Confirmed” status per the office’s settings for Appointments Confirmed by SMS.

Appointment SMS
• MaxiReminder Appointment SMS was updated to not send the same day if the appointment time has passed.

Appointment Emails
• MaxiReminder Appointment Emails were updated to not send the same day if the appointment time has passed.

Recall Email Reminders
• MaxiReminder > Appointment / Recall Email Reminders – message appearing in English only. We can update your MaxiReminder account to have both languages, simply reach out to your Account Manager or Support Tech for assistance.

Automatic Mode
• MaxiReminder > Automatic Mode – enhanced the settings to send for each day of the week when the system is left open and running.

MaxiMessenger
• Added flashing to the desktop tray icon when a new message is received.

 

SMS Monitor

• MaxiReminder > SMS Monitor – Is Confirmed was not being updated for Manual (user clicked) Confirms. Fixed to properly read both the automated confirmations and the user clicked confirmations to update appointment statuses in MaxiPlanner accordingly.

SMS Only Mode

• MaxiReminder > SMS Only mode – fixed a concern with the Email tab still showing in the MaxiReminder window under Operations when it was not functional. Email tab will no longer appear when not activated.

Reminders Tab
• Maxident > Reminders Tab > Patient Email is blank – caused an error in MaxiReminder when sending patient an SMS only message that the “Patient’s Email Is Invalid”. Fixed to not cause an error message in MaxiReminder when the patient’s email is blank in the Reminders Tab and Email option is not checked.

User Preferences
• Preferences > User Preferences > “The default time state for adding new treatments” was updated to identify separation of Resto and Perio controls. Two options now exist: “The default time state for adding new resto treatment” and “The default time state for adding new perio treatment”.

Notes Overview
• MaxiChart > File > Notes Overview – updated the column size to be adjustable via left-click + hold and drag to resize from the column headers. This allows for flexibility in reading the notes.

Recall and Appointment Window

• Recall and Appointments window during Relay in MaxiChart had a typo in the header. Fixed typo of “Recalls and Apointments” to proper “Recalls and Appointments”.

Resto Chart
• MaxiChart > Resto Chart > Patient information – updated to show the patient’s “Preferred Name” with their First and Last Name in the patient information.
• MaxiChart > Resto Chart > Patient information – updated to show longer patient names without cutting off the display.

Perio Chart
• Added a “Paint Mode” to Perio Conditions. This will allow you to free-hand draw the Perio Conditions for your patients by selecting the condition, then either left-clicking on the tooth you want the condition to appear or, for Conditions like Pockets, FGM and MGJ, you can left-click and hold to drag the mouse and enter values for your patient. Simply single left-click on a Condition in the Paint Mode section to turn on/off the Paint Mode for that Condition.

Deadlock between Maxident/MaxiChart/MaxiPlanner

• Found concerns with a deadlock between Maxident, MaxiChart and / or MaxiPlanner when performing multiple queries on the database in the course of normal office work. Implemented a solution to reduce deadlock situations in the Maxident database.

Uncommitted Chart Notes
• Notes were found to be duplicating on occasion when the Auto Save option for the patient’s chart was turned on. Identified and resolved the concern with the save and refresh writing to the database causing the duplications.

Perio Data Entry
• MaxiChart > Perio Chart > Perio Data Entry – found that if you click on Lingual of a tooth, the system was opening to the Buccal side in the Perio Data Entry window. Fixed to open properly on the Buccalor Lingual as selected by the user.

Notes Overview
• MaxiChart > File > Notes Overview > Edit Note screen – added ability to maximize this window for larger display to work with the note; we fixed the title at the top to be “Edit Note” and added “Chart” with note date to the header listing when editing a note.

Resto Chart
